How do I enter multiple purchase bills into Tally at once instead of one by one?

Tally's own purchase voucher screen (Gateway of Tally > Vouchers > F9) is built for one invoice at a time: there's no native "upload a folder of bills" option on that screen. To bring many purchase vouchers in at once, Tally's own bulk route is Gateway of Tally > Import Data > Vouchers, which reads a correctly-structured XML file and creates all the vouchers in it in one import, rather than you typing each one in through F9.

Why native entry is one bill at a time

TallyPrime's purchase voucher (F9) is designed around entering a single invoice's ledger, item and GST details and saving it: there's no bulk-upload screen in the voucher itself, so at real volume that screen alone is slow.

Tally's own bulk import route

Tally's help documentation gives the native path for bringing a batch of vouchers in at once, without a third-party tool.

  1. Prepare a correctly-structured Tally XML file containing all the purchase vouchers to be imported (built from your source data: a spreadsheet, an extraction tool, or hand-prepared).
  2. Go to Gateway of Tally > Import Data > Vouchers.
  3. Enter the name (and, if it isn't in the Tally installation folder, the full path) of the .xml file to be imported.
  4. Press Enter to import: Tally creates the vouchers described in the file in one pass.
  5. Check the Tally.imp log file in the installation folder afterward to confirm what was imported and what, if anything, was rejected.
How Charter AI does this

Charter AI reads a batch of purchase bills, including scanned ones, extracts the invoice fields, and puts each one in a review queue with a suggested ledger mapping. Every entry runs through deterministic checks (voucher balance, GSTIN checksum, duplicates) before it's approved, and the reviewed batch exports as a Tally Import XML file ready for Tally's own Import Data > Vouchers screen.

FAQs

Does TallyPrime have any built-in bulk purchase entry?

Not on the purchase voucher screen itself: that's one invoice at a time. Bulk entry uses Tally's separate Import Data > Vouchers screen, which reads a prepared XML file instead.

Where do I check what happened after a bulk voucher import?

The Tally.imp log file, written to the Tally installation folder, records what was imported and flags anything that was rejected.

Do I have to build the import XML file myself?

You can, following Tally's XML structure, or use a tool that produces an already-structured, Tally-ready XML file from your source bills so you don't have to build it by hand.
